Administrative Assistant

Job Overview:

  • Support the Operations Director and department to ensure effective planning, coordination, execution, and communication of actions related to efficient plant operations.
  • Execute administrative tasks thereby relieving officials of clerical work/administrative and business detail by performing the following duties.
  • Ensure customer requirements relating to quality and efficiency are met as pertaining to the specific duties and responsibilities below.
  • Specific Duties and Responsibilities:
  • Primary support function for Operations Director
  • Prepare presentations and supporting documentation for plant visits, meetings and other technical and commercial reviews with customer teams, customers and suppliers
  • Liaise between human resources, quality, logistics, technical functions, and the production teams to ensure effective planning, coordination, and communication of processes related to plant operations
  • Support visual management for the department (Bulletin boards, PFM boards, etc..)
  • Composes and types routine/confidential correspondence, reports, articles etc.
  • Manages calendar and independently schedules appointments, screens incoming calls and correspondence
  • Coordinates travel arrangements as required for department employees/manager
  • Coordinates and arranges training, meetings, prepares agendas, reserves and prepares facilities and orders catered meals as required
  • Prepares outgoing mail and correspondence, including e-mail and faxes for department
  • Maintains office supplies for department and orders as required
  • Credit card/Expense report reconciliation for department manager
  • Administration of Organization Rules OA 3.0

Formal Education and Work Experience:

  • High school diploma or general education degree (GED); or equivalent experience
  • High-level Excel, PowerPoint and Word functionality
  • 2 years minimum applicable job experience in similar level and industry
